Administrator
Congleton Museum is seeking an administrator to support its board of trustees in the day to day running of the museum, working 18 hours a week over 3 days.
Your duties will include recruitment, training and rostering of volunteers, looking after the website and social media, and dealing with visitors’ queries.
You will need to be adaptable and approachable, a team player with an outgoing, friendly personality and a good sense of humour. Administrative experience is essential, as are strong IT skills, but full training on museum specific procedures and software will be given. Experience of working with volunteers is desirable.
Job and Person Description
- Part Time Employed – temporary contract (six months), but it may be possible to extend it or convert it to a permanent post at the end of that time.
- 18 hours per week over 3 working days, normally Tuesday, Wednesday and Thursday
- at £13.00 per hour (£12,168 annually)
- Responsible to the Joint Chairs of Trustees
Key Areas of Responsibility
Museum Operations
- Regular operation of the museum, including opening and closing, security procedures, supervision of volunteers, dealing with queries from visitors and commercial contacts.
- Internal and external communications, including updating the museum’s website and social media accounts (Facebook, Instagram and X), sourcing appropriate images and writing posts reflecting museum activities; dealing with online shop orders.
- Promote and support the Friends of Congleton Museum, including membership renewals and newsletters.
- Support the creation and distribution of marketing materials.
- Assist in the promotion of the museum through fundraising events.
- Administrative support to trustees and volunteers (projects, events, etc.).
- Prepare a bi-monthly administration report to the Board of Trustees.
- Assist with the development and maintenance of policies and procedures and ensure that they are implemented.
- Regular health and safety checks, including fire alarm tests and emergency evacuations.
- Maintain records of visitor numbers and volunteer hours and analyse them as required.
- Monitor and source office, kitchen, hygiene and first aid supplies.
Volunteer Management (with the support of a voluntary Volunteeer Co-ordinator):
- Identify and promote volunteer opportunities within the museum
- Organise the recruitment, induction and training of new volunteers
- Develop the contributions made by existing volunteers
- Maintain an accurate database of volunteers and their skills
- Prepare a monthly rota for reception cover and arrange cover for holidays/sickness
- Assist volunteers with their own projects as required.

Essential
- Effective interpersonal skills
- Administration/office management experience
- A proven ability to demonstrate initiative and resolve problems
- Strong IT skills
- At least GCSE or similar qualification in Maths and English
- A willingness to undertake relevant online and in person training as required
Desirable
- Experience of working with volunteers

- Experience of using social media
- First aid certificate
- Interest in history
